Who we are

Hotel Condo Market (hotelcondomarket.com, "this site") publishes information about the resale market for Japanese hotel condominiums and resort memberships. It is run by an individual ("the operator").

Questions about this policy: hello@hotelcondomarket.com. The operator's name and contact address will be provided promptly on request to that address.

Information we collect

Information you give through the forms

• Enquiries: your name, email address and the unit you ask about, plus your country, budget and message if you add them.
• Listing requests: your name, email address, building, unit details, asking price, fees, payout record, broker and message (each if entered).
• Waitlist and newsletter: your email address and any optional fields.

Sending an enquiry or listing request does not sign you up for the newsletter.

Information collected automatically

When you send a form, we record the page it came from, the display language and your country (as determined by Cloudflare).

To prevent repeated abusive submissions, we use an identifier generated from your IP address. It changes every day and is kept for 2 days. Your IP address itself is not stored in the form database.

Cloudflare, which serves this site, processes IP addresses to deliver and protect it. Activity logs of this site's program are kept for up to 7 days.

Purposes and legal basis

• Replying to enquiries: the operator's legitimate interest in responding to people who get in touch.
• Handling listing requests: reviewing the request, contacting you about it, and publishing and updating the property details we agree on. This rests on the operator's legitimate interest in publishing accurate listings.
• Waitlist and newsletter emails: only if you sign up, based on your consent. You can withdraw it at any time, and every email has an unsubscribe link.
• Preventing spam and misuse of the forms: the operator's legitimate interest.
• Meeting legal obligations.

From a listing request, this site publishes only the property details agreed with you, such as building, unit details, asking price, fees and payout record. Your name, email address and other contact details are never published.

You can object to processing based on legitimate interests (see "Your rights").

Service providers

Cloudflare, Inc. serves this site, hosts the form database (Cloudflare D1, with Western Europe requested as the storage location), runs spam protection (Turnstile) and sends form contents by email.

To decide whether a submission comes from a bot, Turnstile processes your IP address and information about your browser and connection. See Cloudflare's Turnstile privacy policy: https://www.cloudflare.com/turnstile-privacy-policy/

Form contents are received in a personal Gmail mailbox provided by Google.

We never sell information. We do not pass it to brokers or other third parties unless you ask us to or agree, or the law requires it.

Processing outside your country

Cloudflare and Google operate worldwide, including in the United States, so your information may be processed outside your country.

Cloudflare handles it under a data processing agreement that includes standard contractual clauses for international transfers.

Gmail is a consumer service, and Google Workspace data processing terms do not apply to it. Information in the mailbox is handled under Google's terms of service and privacy policy.

How long we keep it

• Form database: deleted automatically 24 months after the date you sent the form.
• Form notification emails in the mailbox: emails more than 24 months past their receipt date are deleted at a review every 6 months, so some may remain for up to about 30 months.
• Monthly backups (kept by email): each backup is deleted once it is more than 3 months past its creation date, when the next backup arrives.
• Cloudflare database recovery history: deleted records may remain for up to 30 days.
• Newsletter sign-ups: until you unsubscribe or ask us to delete them.
• Anti-abuse identifier: 2 days from creation.
• Activity logs of this site's program: up to 7 days.

Security

Connections to this site are encrypted with HTTPS.

Access to the site's admin accounts (hosting, database, mailbox) is limited to the operator.

The destination email address, the Turnstile secret key and similar settings are stored as encrypted settings, separate from the program code.

The forms are protected by Cloudflare Turnstile and a limit on how many submissions can be sent within a set time.

Your rights

Under the laws that apply, you can ask for access to, correction of, deletion of, or a stop to the use of the personal information we hold. You can object to processing based on legitimate interests and withdraw consent to emails at any time. Where the law gives you the right, you can also ask to receive the information you provided in a common format.

Send requests to hello@hotelcondomarket.com. We respond promptly, normally within one month, and will tell you if the law allows an extension.

You can also contact Japan's Personal Information Protection Commission, the UK Information Commissioner's Office (ico.org.uk) or the data protection authority where you live.

Browser storage

We do not use advertising or tracking cookies.

To remember your choices, this site saves your language, currency, compare list and filters in your browser's local storage. To load pages faster, it also saves photo and rate information from Rakuten Travel. That information is valid for 7 days and stays on your device until it is updated or deleted.

You can delete it at any time with the "Clear saved settings" button on this page or in your browser settings. If you choose "Don't save on this device", nothing more is saved (except one item that remembers that choice).

Cloudflare and Turnstile may set cookies needed for security.

Information sent to outside services

On some pages your browser loads content directly from other services, so those services receive your IP address and browser information.

• Rakuten Travel: pages that show photos and room rates
• OpenStreetMap: map images on map pages
• Cloudflare Turnstile: pages with forms

Fonts and the map program are served from this site.

Links to Rakuten Travel, Expedia, Booking.com and Agoda are plain links. This site does not track affiliate conversions through these links. Each linked site's own privacy policy applies there.

If we change this policy, we update the "last updated" date on this page. Important changes will be announced on this site.
